The workflow

Six steps from existing contract to checked invoice

You don't replace the operators you trust. You connect them to a shared record of what was agreed and what was delivered.

  1. 1

    Import

Bring the contract you already have

Record your existing vendor agreement: rate card, vehicle type, route, term and service levels. Nothing changes legally. The contract stays between you and your vendor.

    Route A contract

    Sample file

    Day rate
    ₹2,400
    Included distance
    80 km
    Extra distance
    ₹22 / km
  2. 2

    Invite

    Invite your vendor to confirm

The vendor confirms their own vehicles, drivers and schedule. They stay in control of their business and aren't opted into anything else.

    Sample Transit Co.

    2 vehicles · 3 drivers

    InvitedConfirmed

Vendor chose: private to this institution

  3. 3

    Confirm

    Agree the rules once

Included kilometres, night allowances, cancellations and replacements are written down as rules both sides can see.

    Agreed rules

    • 80 km included per day
    • Night allowance after 22:00
    • Cancelled trips not payable
    • Replacement within 45 min
  4. 4

    Schedule

    One agreement, every trip

A single contract produces dated trips automatically (weekday shifts, school terms, standing appointments), each with a vehicle and driver assigned.

  5. 5

    Monitor

    Know what happened

Each trip records status events: assigned, arrived, started, completed or delayed. People get the updates relevant to them, not a constant location feed.

  6. 6

    Reconcile

    Check the invoice against reality

At month-end the invoice is compared against the contract and the trip record. Differences are flagged line by line before you pay.
